Administrative Assistant

Position Summary:  Reporting to the Associate Vice President of Academic Affairs and Dean of Graduate Programs, the individual selected as Administrative Assistant will provide office services by overseeing administrative systems, procedures, and policies, and monitoring administrative projects for the office of the Associate Vice President of Academic Affairs and Dean of Graduate Schools.

Qualifications: A minimum of ten years related work experience in executive level administrative assistance would be preferred. Must be an active member of a Church of Christ congregation.

Essential Functions:

  • Manage and maintain executives’ schedules
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • File and retrieve university documents, records, and reports
  • Greet visitors and determine whether they should be given access to specific individuals
  • Prepare responses to correspondence containing routine inquiries
  • Prepare meeting agendas, take notes during meetings, and prepare minutes for distribution
  • Coordinate documents and activities across campus
  • Assist with event planning
  • Maintain workflow by studying methods; implementing cost reductions; and developing reporting procedures
  • Create and revise systems and procedures by analyzing operating practices, recordkeeping systems, forms control, and general office management; implementing changes as required
  • Resolve administrative problems and identify and implement solutions
  • Maintain supplies inventory
  • Contribute to team effort by accomplishing related results as needed

Work Conditions:

  • Work is primarily indoors
  • Standard office hours are 8:00 a.m. to 5:00 p.m.
  • Attendance at evening and weekend events is sometimes required
